Sync transactions to Xero

Connect your Xero organisation, map your accounts and sync Altitude transactions to Xero

Altitude Accounting connects your workspace to Xero. You review each settled transaction, choose how it's recorded and post it to Xero – no CSV exports, and nothing syncs until you select Sync.


Before you connect

  • One Xero organisation per workspace

  • A Standard, Adviser or Administrator role in Xero, with the Connected Apps permission

  • An existing Xero bank account for each Altitude account, in the same currency

Altitude can't create bank accounts in Xero, so add any you need before you start.


Connect Xero

  1. Go to Accounting.

  2. Select Connect on the Xero card.

  3. Sign in to Xero and pick the organisation to connect.

  4. If Altitude shows Choose a Xero organisation, pick it again and select Connect organisation.

  5. In Select accounts, tick the Altitude accounts to sync.

  6. In Map accounts, pick the Xero bank account for each one.

  7. Set the Sync from date for each account.

  8. Check the summary and select Confirm setup.

Transactions dated before the sync from date aren't brought in. Altitude doesn't post an opening balance to Xero – compare the Balance at sync start shown for each account with Xero instead.

Note: To sync a EUR account, your Xero organisation needs a EUR bank account, which requires multi-currency in Xero. Until then, mapping shows No EUR accounts in Xero.


Review and sync transactions

Settled transactions on your synced accounts wait under For review. Pending transactions appear once they settle.

  1. Select a transaction to open its details.

  2. Check the Type: Spend money, Receive money or Transfer.

  3. Choose a Category from your Xero chart of accounts.

  4. Choose a Contact in Xero. Spend money and Receive money need one.

  5. Check the preview under Will appear in Xero as.

  6. Select Sync to Xero.

The transaction moves to Synced with a reference starting Altitude-, so you can find it in Xero. Select View in Xero to open the entry.

For a quicker pass, set the type and category in the row and select Sync. Rows that still need a contact show Xero: Required.

To keep a transaction out of Xero, select ✕ on the row, or Exclude in its details. It moves to Excluded; select Move for review to bring it back.


Choose or create a contact

Search your Xero contacts, or type a new name and select Create "name" in Xero. Altitude then asks where to use it:

  • All payments to a recipient – applies to their unsynced transactions

  • All Earn reward transactions – one contact for your rewards

  • This transaction only – for one-off payments

Card payments and payments from unknown senders take a contact each time. Synced transactions are never changed.


Transfers

A transfer between two synced Altitude accounts posts as one Xero transfer, with no contact needed. To record a payment to another of your bank accounts as a transfer, set the Type to Transfer and choose that account as the category.

Important: Map each Altitude account to its own Xero bank account. A transfer between two Altitude accounts mapped to the same Xero account can't be synced.


What syncs

  • Bank deposits and payments – ACH, wire, SWIFT and SEPA

  • Stablecoin deposits and transfers – USDC and EURC

  • Transfers between your Altitude accounts

  • Card spend, refunds, deposits and withdrawals, once your Cards account is mapped

  • Earn rewards

USD and EUR accounts are supported. Other assets in Holdings, such as SOL or BTC, aren't included.

Each entry posts to the mapped bank account with the description Altitude transaction. Tax isn't set from Altitude, and a transaction can't be split across lines yet. Make any corrections in Xero – synced entries can't be edited or reversed from Altitude.


Change your setup or disconnect

Select Settings on the Accounting page.

  • Add an account – tick it, map it and select Confirm setup

  • Change a mapping – untick the account and confirm, then add it again

  • Stop syncing an account – untick it and select Stop syncing

  • Load new Xero accounts – select Refresh in Map accounts

  • Disconnect – select the disconnect icon next to your organisation

Anything already synced stays in Xero when you stop syncing or disconnect.
