Top up and withdraw card funds

Top up and withdraw from your card account

Written by Noah

Your cards spend from a dedicated card account, held in USDC. Use Top up to add funds from any account in your workspace, and Withdraw to move unused funds back out.

You can do both from the Set up Cards checklist when you first set up cards, or anytime from the Cards page. To keep the balance topped up without manual transfers, see Set up auto top-up for cards.

Before you start

  • You need permission to propose transfers in your workspace, since top-ups and withdrawals follow the same approval flow as any other transfer. See Approvals.

  • The account you're moving from needs enough balance to cover the amount.

Top up

  1. On the Cards page, select Top up next to your Spendable balance.

  2. Choose the account to fund from and enter an amount.

  3. Create the top-up to submit it for approval.

Withdraw funds

  1. On the Cards page, select Withdraw next to your Spendable balance.

  2. Choose the account to send funds to and enter an amount.

  3. Create the withdrawal to submit it for approval.

If auto top-up is on, it pauses once the withdrawal executes and a card admin needs to resume it.

What happens next

Top-ups and withdrawals don't move instantly. Each one becomes a proposal that follows your workspace's regular approval flow, just like any other transfer (see Approvals):

  1. Approval: the proposal waits in your inbox until it's approved. At a 1-of-1 approval threshold, this happens automatically. While it waits, a Pending Cards proposal banner shows on the Cards page.

  2. Execution: once approved, the proposal still needs to be executed by hand before any funds move.

  3. Balance update: after execution, your card account balance updates and the movement appears in your card transactions as a Top up or Withdraw.

Note: Newly added funds can take a few minutes to become available to spend. If a purchase is declined right after a top-up, give it a couple of minutes and try again.

Check your card account balance

On the Cards page, the top shows your Spendable balance, with Cashback accrued this month and Spent this month just below. Select the info icon next to Spendable balance to see the breakdown:

  • Spendable: what your cards can spend right now.

  • On hold: funds held by pending authorizations that haven't settled yet.

  • Collateral: your full card account balance (Spendable plus On hold).

Tip: Keep a buffer in the card account above what you expect to spend. Some purchases briefly hold up to around 20% more than their price for tips or incidentals, and hotels and car rentals hold an estimated total or deposit for the length of the stay or rental. Top up enough to cover the full hold, not just the final bill – the held amount can't be spent elsewhere until it's released. See How card holds and pre-authorizations work.

Note: Cards spend in USD, so your Spendable balance can dip below your Collateral while authorizations are processing. See Track card transactions for how spend settles.
